Contract: 12 Month FTC Maternity Leave Cover

Reports To: Managing Director

Summary: You will work closely with the Operations team to ensure the performance goals for Commercial sites and tenancies are met. Manage all day to day requirements and addresses the issues and concerns of all the Commercial tenants.

Duties & Responsibilities:

1.      Manage all debt

-        Daily, managing the debt collection process (internal)

-        Daily, managing the debt collection process (MHC)

-        Managing / reviewing monthly bad debt report

-        Managing revenue dept.

-        Instructing revenue and MHC on all debtors

-        In all cases reviewing all legal documents associated with each account

-        Reporting to CEO/ COO, if appropriate

-        Working with Capreit legal dept


2.      Budgets

-        Detail

-        Agree

-        Manage

-        Report on budgets monthly


3.      SAP

-        Uploading leases for revenue to add financial information

-        Being able to navigate through commercial SAP

-        Approving Po’s etc.


4.      Managing current leases

-        Managing all day-to-day issues

-        Agreeing price for works to be undertaken on units

-        Instruction admin to raise PO

-        Instruction for R&M to be undertaken

-        Assessing works for approval

-        Instructing for Invoice to be raised/paid



5.      Managing lease events

-        Understanding all lease events and managing each event

-        End of lease, managed as per each lease covenant

-        Breaks, managed as per each lease covenant

-        Reviews, as below


6.      Rent Reviews

-        Reviewing all leases in advance

-        Reviewing all lease/ side letters / other associated documents

-        Understanding legal wording and consequences in each legal document

-        Engaging with agent (Bannons)

-        Contract to be managed

-        Managing and instructing agent on all rent reviews and approach

-        Invoices to be agreed and issued


7.      Negotiation

-        Managing each unit and use

-        Managing marketing

-        Changing use, via planning authority, if necessary

-        Managing letting agents and contracts

-        Negotiating heads of terms

-        Report on negotiations monthly


8.      Legal

-        Fully negotiating leases and all other necessary legal documents, with internal legal team and external solicitors  

-        Dealing with any legal issues that arise

-        Engaging with solicitors as necessary

-        Approving legal fees with internal legal team


9.      OMC’s

-        Engaging with OM’s (Operations Managers) on any issues with OMC

-        Ensuring that you are aware of all issues on the ground, if IRES are engaging on works directly, as a jesture


10.   Development team

-        Interacting with development team

-        Assisting development team

-        Adding input on planning for commercial units


11.   Meetings

-        Strategy meetings (managing director)

-        Contribute and add to each monthly meeting

-        Contribute and add to each meeting generally

-        Addend staff/ external meetings as necessary

-        Quarterly meetings with COO


·        Minimum of 10 years’ commercial experience in a similar role with 5 at least 5 at supervisor level

·        Currently possess PSRA license (C & D) or have qualifications to secure a PRSA license

·        Experience with OMC's

·        Outstanding customer relations skills and strong negotiating skills

·        Property qualification (preferred)

·        Minimum of three years in a supervisor capacity in property management

·        Strong communication skills (Written & Oral) & Interpersonal Skills

·        Must be proficient in all Microsoft programmes

·        Contribute/cultivate team atmosphere
